Passports and identity cards

1. GENERAL INFORMATION

NOTE: All the forms mentioned on this page (e.g., PASS01…) are available on the Forms section (click here).

The passport is a travel document, that can only be issued to Italian citizens. To apply for a passport or passport renewal, Italian citizens residing in the Provinces of British Columbia, Alberta, Saskatchewan and the Yukon Territory must have the following requirements:

  • Be Italian citizens of legal age

Applications for minors under 18 years of age must be presented by a parent or legal guardian (see below under “Passport for minors”).

  • Be registered in the AIRE with our Consulate General, with their address up-to-date

If you have recently moved to our jurisdiction (which includes AB, BC, SK and YT), whether you are coming from Italy or from another Consular jurisdiction in the world, you need to register with AIRE (visit our AIRE page) before applying for a passport through us.

If you have only changed addresses within our jurisdiction but have not yet informed us, proceed to update it according to the instructions available in our AIRE page.

If you are in our jurisdiction only temporarily (including tourists and temporary residents), you can request an Emergency Travel Document (ETD) that will allow you to travel back to your place of residence (see below, under “ETD”).

  • Have updated their marital and family situation with us (marriages, divorces, birth of children)

All Italian citizens, whether residing in Italy or abroad, must inform the Italian public administration of any change to their marital status and/or family composition, and submit the documentation required to register life events (such as birth, marriage, divorce, death) in Italy.

If your life situation with us is outdated, make sure to update it BEFORE applying for a passport, by following the instructions available on our Vital records page.

Finally, if you were not born in Italy, it is essential that you make sure that your birth has been registered in Italy, by making inquiries with the relevant Comune in Italy and/or Consular authority.

 

2. PASSPORTS FOR ADULTS (18 YEARS OF AGE AND OVER)

 The procedure changes slightly according to the Province/region where the applicant resides:

2.1 RESIDENTS OF BC AND YUKON

If you live in British Columbia and the Yukon Territory, you will need to book an appointment online through our new booking system Prenot@mi. It is strongly recommended to book your appointment well in advance of your passport’s expiration date, as high demand during certain times of the year may significantly increase waiting times.

The appointment calendar allows you to book slots on selected days of the week in the next 3 months starting from January 2026 (excluding statutory holidays). Appointments slots are released progressively on a daily basis, moving forward. Eight weeks is the maximum range for which you will be able to see any appointment openings. Please kindly note we are not in a technical position to provide you with additional guidance about the appointment slots released.

The use of the Prenot@mi booking system is entirely free of charge. There are no remaining available slots for 2025.

NOTE: To use the Prenot@mi booking system (http://prenotami.esteri.it), you need first of all to create an account by clicking on the Register your account button and entering your data and password. You can then access the booking system by clicking on “Prenota/Book” and choosing “Passports”.

When booking an appointment, you must upload through the Prenot@mi Portal the Information Sheet PASS01v1 (available on the Forms page), duly completed and signed (one per each passport applicant), along with a copy of each applicant’s current passport or ID document.

If the Information Sheet is not uploaded during the booking process, the appointment will be cancelled.

Applicants over the age of 65 who are unable to access the Prenot@mi booking system may send the PASS01v1 form directly to the Consulate by email (passaporti.vancouver@esteri.it), by fax (+604 6854263), or by mail.

2.1.1 WHAT TO BRING TO THE APPOINTMENT

Applicants will need to bring:

  • A valid ID document
  • The previous Italian passport (if this is not their first Italian passport)
  • If they prefer to receive the passport by mail instead of picking it up in person, a pre-paid Xpress Post envelope, small-size format
  • The passport consular fee in cash (possibly in the exact amount); the current fee can be found at this link: Modulistica > Tabella diritti consolari > “Rilascio passaporto”.

Photos are not necessary: they will be taken digitally during the appointment

NOTE: If your consular records are not up to date, your appointment will be cancelled and you will receive an email with instructions on the documents they need to submit to update your records.

 

2.2 RESIDENTS OF ALBERTA AND SASKATCHEWAN (excluding the Calgary metropolitan area):

If you are a resident of Alberta and Saskatchewan (excluding the Calgary metropolitan area), you must fill out the PASS01v1 Information Sheet downloadable from the Forms page and send it by email to passaporti.vancouver@esteri.it; if everything is updated, you will receive instructions about your appointment in our Edmonton office.

2.3 RESIDENTS OF THE CALGARY METROPOLITAN AREA

If you are a resident of the Calgary metropolitan area, you must fill out the PASS01v1  Information Sheet downloadable from the Forms page and send it by email to passaporti.vancouver@esteri.it; if everything is updated, you will receive instructions about your appointment with our Honorary Consul in Calgary.

 

3. PASSPORT FOR MINORS AGED 12 TO 17

3.1 RESIDENTS OF BC AND YUKON

The booking procedure is similar to that described for the adults (see 2.1. above), with the only difference that (since a minor cannot open a Prenotami account in their name)  the parent must indicate in the “Notes” that the appointment is for their minor child(ren) with first name(s) and surname(s).

Also, instead of using the PASS01v1, parents must complete and upload PASS02v1 (the Data Verification Information Sheet for Minors) available on the Forms page.

A parent wanting to book an appointment for themselves and their spouse and/or their minor children under 12, will need to select the “Multiple booking” option and proceed to the booking as the main applicant, adding the other members as “Additional applicants”. It is always important to clarify in the “Notes” field the names of all the persons for whom the booking is made.

3.2 RESIDENTS OF ALBERTA AND SASKATCHEWAN (excluding the Calgary metropolitan area):

To apply for a passport for a minor aged 12 to 17, either parent should fill out the PASS02v1 Information Sheet downloadable from the Forms page and send it by email to passaporti.vancouver@esteri.it; if everything is updated, you will receive instructions about the appointment in our Edmonton office.

3.3 RESIDENTS OF THE CALGARY METROPOLITAN AREA

To apply for a passport for a minor aged 12 to 17, either parent should fill out the PASS02v1 Information Sheet downloadable from the Forms page and send it by email to passaporti.vancouver@esteri.it; if everything is updated, you will receive instructions about the appointment with our Honorary Consul in Calgary.

 

4. PASSPORT FOR MINORS AGED 0 TO 11

For children under 12 years of age, fingerprints are not required, so there is no need to book an appointment at all. The entire procedure is carried out by mail. The parent or legal guardian must send the Information Sheet for Minors PASS02v1 (downloadable from the Forms page) via email to passaporti.vancouver@esteri.it.

4.1. PARENTAL CONSENT FOR MINORS

To issue a passport to a minor, the consent of both parents is required, even if they are unmarried, separated, or divorced.
If the Italian or European Union parent resides outside our consular jurisdiction, they may sign the consent form PASS04a (downloadable from the Forms page) separately and send it to the Consulate by email (provided it is sent from their personal email address), along with a copy of their valid Italian or EU passport.
The parent who is not an Italian or EU citizen, on the other hand, can sign the consent form PASS04 (downloadable from the Forms page)  in the presence of an official from an Italian authority (Police Headquarters if in Italy, Consular Office or Notary if abroad) and send the original or a certified electronic copy (PEC) to the Consulate.
In the event of the death of one parent, a copy of the death certificate must be provided.

4.2 Should one of the parents refuse to sign the consent form

In the event that one of the parents refuses to sign the consent form for the issuance of a passport for the minor child, the applicant parent must send by mail to the Consulate a signed letter in which the reasons for the refusal of the other parent are explained. This letter must also contain the complete postal address and contact telephone numbers of the non-consenting parent.
In the event of a separation or divorce, the applicant must present all related documents, as well as possible custody arrangement orders concerning the minor(s).
The Consulate will proceed to evaluate the situation and gather all elements needed to make an informed decision on the matter.

5. PASSPORT VALIDITY

For adult applicants, the passport is normally valid for ten years.
Minors must have an individual passport, with validity periods varying by age: 3 years for minors aged 0 to 3 years, and 5 years for minors from 3 years old until they reach legal age.

6. PASSPORT FEE AND PAYMENT

The fee for issuing the passport, regardless of its validity (3, 5, or 10 years), is €116.00, payable exclusively in Canadian dollars. The currently applicable equivalent amount in Canadian dollars is published in the Consular Fees Table in the Forms page.
The passport office in Vancouver accepts cash (please bring the exact amount) or money orders or bank drafts made payable to Consulate General of Italy.
The Consular Office in Edmonton and the Honorary Consul in Calgary accept ONLY money orders/bank drafts. Personal cheques, credit cards, and debit cards are never accepted.

7. PASSPORT ISSUANCE METHODS AND TIMING

Barring unforeseen technical issues, passports are issued within two to three weeks from the date of receipt of the documentation and biometric data. Once ready, the passport can be picked up in person at the Vancouver office, or it can be sent by mail via a prepaid Canada Post XpressPost, Purolator or FedEx pre-paid envelope, which must be supplied by the applicant at the time of the passport request.
We recommend keeping the shipment tracking number in order to monitor the delivery status.

8. CERTIFICATE OF ACCOMPANIMENT FOR MINORS UNDER 14 TRAVELLING WITHOUT PARENTS

Italian citizens over 14 years of age only need their valid Italian passport to travel internationally to countries that do not require a visa.

For Italian citizens under the age of 14 who travel alone, or not accompanied by at least one parent, a consular certificate is required. The certificate is issued by the Consulate for minors under 14 residing in the consular district, upon explicit request by the parents or legal guardians. They can apply by completing and signing the request form  PASS05 (available on the Forms page) and sending it by email to pass.vancouver@esteri.it together with:

  • copies of the parents’ passports
  • copies of the minor(s) passport(s)
  • copies of the escort(s) passport(s)
  • copies of the airline tickets of those travelling.

9. LOSS OR THEFT OF PASSPORT

9.1. PROCEDURE FOR  RESIDENTS REGISTERED IN THE AIRE

In case of passport theft or loss, it is necessary to file a report with the local police authorities.
After doing so, a new passport can be requested following the same instructions provided at the beginning of this page, by sending in advance via email:

  • a copy of the police report or, if a paper copy is not available, the Police Report file number;
  • if possible, a copy of the lost/stolen passport (or at least its number and date of issue);
  • valid ID;
  • a declaration regarding the loss or theft of the passport (see form PASS06 in the Forms page).

9.2 PROCEDURE FOR NON-RESIDENTS (ETD)

In case of passport theft or loss by an Italian citizen only temporarily present in our consular district, a report must be filed with local police authorities. After this, it is possible to apply for an Emergency Travel Document (ETD) by sending an email to the Consulate General (pass.vancouver@esteri.it), and attaching the following:

1) application form, filled out and signed (PASS07 for adults, PASS08 per minors, see the Forms page)
2) copy of the police report, or file number
3) if possible, copy of the lost/stolen passport (or at least its number and date of issue);
4) booking or ticket for the return flight to re-enter Italy or the country of residence, with indication of border crossings;

At  the appointment the applicant will also need to bring:
5) currently valid Government-issued photo ID;
6) two passport-sized, good-quality, recent photos (max 3 months), 3.5 x 4.5 cm, colour on white background.

This document allows only one return trip to the country of residence and is valid for a single journey (typically 3 days). The cost of the ETD is listed in the Consular Fees Table on the Forms page.

10. PASSPORT APPLICATION IN CASES OF VERIFIED URGENCY

Do not purchase airline tickets or other travel documents before ensuring your passport has sufficient validity. Possession of a travel document does not constitute sufficient proof of urgency.
Only in cases of absolute and documented urgency (sudden need to travel for very serious and proven health reasons or urgent work obligations) can a passport be requested by a resident in our jurisdiction via the urgent procedure.
The urgency must be justified by:

  • serious health conditions of a family member outside Canada, supported by a medical certificate and accompanied by a letter from the applicant explaining the reasons for the urgent request;
  • serious family reasons: in this case, a detailed request from the applicant is required, supported by relevant documentation;
  • urgent work needs, proven by a detailed, motivated request on the employer’s letterhead, possibly accompanied by supporting documentation (e.g., registrations for international conferences, etc.).
    If the urgency is recognized, the related fees listed in the Consular Fees Table on the Forms page (art. 74) will apply, and the passport will be issued within 24 hours from receipt of all the documentation normally required (in addition to the documents justifying the urgency).
    The urgent procedure is normally granted only to the applicant, not to family members or acquaintances.
    Only nationals registered with AIRE at our Consulate can request the issuance of an urgent passport.
